How to become more efficient when using SAP
SAP is one of the world’s largest software companies for business process management, providing solutions for data managing and information flow within companies. The developed solutions apply to a wide range of areas, with standard applications, industry solutions, platforms, and technologies, where each business process can be mapped and designed. Here are some important tips for efficiency when using SAP.
1. Customize the layout.
For new users, it’s essential to know that you can customize the SAP layout to make it more intuitive. Access SAP and click on “Customize Local Layout” at the top of the menu bar. Select “Options,” and in “Theme Settings,” choose the scheme you prefer! Finally, log out and log back in to apply the changes. I recommend using the “SAP Signature” scheme. Additionally, you can change the system colors, a useful feature for those working with multiple environments simultaneously. To do this, go to “Define Customer Colors” and select your favorite color!
2. Add your frequent transactions to favorites.
In SAP, we use transaction codes, known as Transactions (or T-Codes), to access programs. Did you know you can add your frequent transactions to the SAP menu favorites to save time? To do this, go to the menu bar, select “Favorites,” and then “Insert Transaction.” Enter the desired transaction code, and it will be available in your favorites in the main menu.
To make everyday use even easier and to familiarize yourself with the technical names of transactions, activate the “Display Technical Names” option. Go to the “Extras” menu, “Settings”, and select the “Show technical names” option. From there, the technical names of the transactions will appear along with their descriptions. Simple and effective.
To optimize your time even more, here is a list of the main transactions used in the MM, SD and FI modules, as well as a document with detailed instructions on how to add these transactions to batch favorites.
3. Display Technical Names.
To make daily use easier and to familiarize yourself with the technical names of transactions, activate the “Display Technical Names” option. Go to the “Extras” menu, “Settings,” and check the “Display Technical Names” option. From then on, the technical names of the transactions will appear alongside your descriptions. Simple and efficient.
To further optimize your time and become more efficient when using SAP, look for the list of the main transactions used in the MM, SD, and FI modules, as well as detailed instructions on how to add these transactions to favorites in batch, so you can increase your productivity and efficiency.
4. The big picture.
Finally, if you already work with SAP and aim to become a consultant or SAP Business Analyst, my recommendation is to focus on business processes. Before learning how to configure the system, it’s crucial to understand how the business area you intend to work in functions. For example, if you are interested in SAP MM (Material Management), you should be well-versed in Logistics and Supply Chain processes such as purchasing, goods receipts and issues, and inventory management. If you prefer SAP SD (Sales and Distribution), it’s important to understand commercial processes like sales, deliveries, and billing.
After that, I suggest taking SAP classes in the module that interests you the most, learning the details of customizing, and how to implement business processes in SAP.
